Scheduled Report Exports

Overview

Scheduled exports email a report to a list of recipients at a fixed interval, as a CSV and/or JSON attachment. They are configured in the portal under Configuration → Export, which has two screens:

  • Reports: the current way to configure exports. Each export is a named job for one report, and an account can have as many jobs as it needs (for example, a daily Missed Calls export to the reception team and a monthly Usage Charges export to finance).
  • Global Reports: the older screen. It holds a single export configuration per report for the whole account. It is kept for the accounts that already use it; new exports should be created under Reports.

Both screens require the Exportable Reports section of the Configuration permissions in the user's role. Users with read-only access to that section can see the exports but not create, edit or delete them.

Reports that are not in this list (for example DIDs Activity, CDRs or the PIN reports) cannot be scheduled; they are downloaded from the report page itself. See Reports documentation.

Creating an Export

  1. Go to Configuration → Export → Reports and click Add.
  2. Enter a Name (required) and, optionally, a Description.
  3. Select the Report.
  4. Leave Enabled on to start sending it.
  5. Choose the file format: Single CSV File, Single JSON File, or both. An enabled export must produce at least one of them.
  6. Choose the Interval (see below).
  7. Select the Recipients. Recipients are chosen from the email addresses of the account's portal users.
  8. Set the report-specific options, if any (see below), and save.

The list shows each export's name, description, report, interval, files, recipients and status, and lets you edit or delete it. To pause an export without deleting it, turn Enabled off.

Changing the report of an existing export clears the options that belonged to the previous report (queue selection, filter groups, grouping).

  • When an export is enabled, the first report is sent right away, covering one interval back from that moment. After that, each delivery follows the interval.
  • Dates in the reports and in the file names use the account's timezone.
  • Exports have no "run now" button and no delivery history in the portal; to receive a report on demand, download it from the report page.

Report-Specific Options

Queue selection (Queues Activity, Agents Activity, Queues Calls, Missed Calls): limit the export to the selected queues. Leaving it empty exports all queues. For Missed Calls, selecting queues leaves out the missed calls that never reached a queue.

Grouping (Queues Activity): turn on Group and choose a Group Period (15 min, 30 min, 1 h, 2 h, 6 h or 12 h) to split the queue statistics into time slots.

All Calls options: - Count: by user or by call. - Filter groups: one or more groups combined with OR (Add OR group). Each group sets the call Type (All Calls, Queue Only, Direct Only), the Queues (for queue calls), the Direction (Any, Inbound, Outbound), the Network (All Networks, On-net, Off-net) and Queue Call Attempts (one entry per call, or every attempt). - Only count a queue call for the agent who answered it (when counting by user).

Global Reports Screen

Configuration → Export → Global Reports (titled "Global Exportable Reports") lists every exportable report on a single page, in a Reports section and, for accounts with Contact Center, a Contact Center section. Each report has the same format, interval, recipients and report-specific options described above, and a report is sent when at least one file format is turned on. A single Save stores the whole page. CX Channels reports are not available on this screen.

File Formats and Delivery

  • Exports are delivered by email only, as attachments.
  • CSV: the same columns as the report's CSV download.
  • JSON: the same records in JSON. For Usage Charges, the JSON is an object with a calls array and a totals object (total calls, total minutes, total amount).
  • PDF is not available for scheduled exports.
