Who Sees What

Two separate questions, decided in two separate places.

Question Decided by Where
Can this person configure the account? their user level on the platform Users, in the admin portal
Can this person read this board? the board's readers Desk Center → Workflows → (board) → Settings

Administrators and regular users

Desk Center follows the level each user already has on the platform. Nothing is configured twice.

An administrator sees everything: the boards and contacts, and the setup screens — workflows, fields, types, routing, storage.

A regular user sees the work and not the setup: Boards, Contacts and Leads. The configuration screens are not in their sidebar, and — this is the part that matters — the endpoints behind those screens refuse their changes too. A hidden screen whose buttons still work is not a permission.

Nothing to configure here

There is no separate Desk Center role to assign. Make somebody an administrator of the account in the usual place and they can configure Desk Center; leave them a regular user and they can work.

Who can read a board

Desk Center → Workflows → (board) → Settings → Who can see this board

Every board is readable by everybody in the account until you say otherwise. Three states:

State Who reads it Who reads it after somebody new joins
Everyone (default) everybody in the account the new person, automatically
Only these people the names on the list not the new person
Everyone except everybody not on the list the new person, automatically

Choose by which list will age better, not by which is shorter today. A board for a three-person team that rarely changes is an only list. A board everybody uses except contractors is an except list — and stays correct as the company grows.

The person editing is always kept

You cannot remove yourself from a board's readers while editing it, because a board you just locked yourself out of cannot be unlocked from inside Desk Center.

What a restricted board looks like to somebody without access

Nothing. It is not greyed out and it is not listed: it does not appear in their board list, its work does not appear in their searches, and a link to one of its items answers not found rather than not allowed.

That is deliberate. A board that announced its own existence would leak the thing restricting it was meant to hide — the names of your teams, your customers, or your cases.

What a regular user can still do

Everything the work needs: open items, move them across columns, assign, comment, attach files, link a contact, close and cancel. The restriction is about setting the account up, not about doing the work.
