Partners: Set Up a New Customer

A series for partners. Watch the videos in order: together they take a new customer from nothing to users who are ready to make calls.

4 videos · about 7 minutes.

The videos use fictitious demo data: the customer "Acme Dental Demo" and its users.

1. Create a Customer Account and Its Users

2 min 20 s

What the video covers:

  • Create the account: Config › Tenant Accounts › Add. The realm, the account's unique SIP domain, is generated from the account name.
  • Timezone, technical contact and company address.
  • Service plan: the plan that sets the customer's rates.
  • Auto provisioning: on by default, so every user gets the desktop and mobile apps ready to use.
  • Limits: simultaneous calls and the number of users. Two-way flat rate concurrent calls stays at its default of 2: two simultaneous calls are included before calls are charged per minute.
  • Credit as fraud protection: credit is reloaded once per day, so it limits how much fraudulent calls can spend in a single day.
  • Work inside the new account with the account switcher.
  • Add users one by one (name, email, extension; the password is generated), and make one of them an admin.
  • Upload users in bulk from a CSV file. Only first name, last name, email and extension are required.

Users are created without an invitation: inviting them is the next video.

2. Onboarding Your Users

1 min 25 s

What the video covers:

  • Invite everybody at once: filter the Users list by Not Invited, select all, and in Bulk Actions click Send Onboard Emails. Each user gets a welcome email with a personal link to the Get Started site.
  • Follow the invitations in the Invitation column: Pending while the emails go out, then Sent. Hover a status to see when it changed.
  • See what your users get: Open Get Started Link shows the Get Started site, with the customer's name and the desktop, web and mobile apps in one place.
  • Magic-link login: each app signs the user in without typing a password.
  • When a user signs in to any app, their invitation shows as Accepted.

3. Adding Numbers and Assigning Them to Users

1 min 13 s

What the video covers:

  • Find the numbers: Config › Numbers › Phone Numbers. Each account shows its numbers and how many are free.
  • Add numbers: Add Numbers, then enter them in international format (+, country code and number), one per line, and Save.
  • Give a user a direct number: in the Used By column, choose the user. The number also becomes that user's outbound caller ID.
  • Keep a number free for the company's main number, which the next video sets up.
  • Check the result in Users, where the Numbers column shows each user's direct number.

The numbers in the video are fictitious (555-01xx).

4. Setting Up Your PBX

1 min 22 s

What the video covers:

  • Open the PBX: the top bar's PBX opens SmartPBX, where the company's call routing is set up.
  • A ring group: Groups › Add Group. Name it, give it an extension, and drag in the users who answer; their phones ring together.
  • The main number: Main Number › Main Company Numbers › Add from Spare Numbers. The main number also becomes the company's caller ID.
  • Office hours: Office Hours Strategy › Custom Office Hours (Monday to Friday, 9:00 to 17:00) › Save Changes.
  • Incoming call handling:
  • Open Hours: calls ring the group, and go to voicemail if nobody answers.
  • After Hours: calls go straight to voicemail.
  • Save Changes confirms with "Call strategy successfully updated."
